Spaces: Non-profit exhibitors may select either a 5' x 10' space or a 10' x 10' space. All other exhibitors may only select 10' x 10' spaces, but may purchase additional spaces to be placed side-by-side. Exhibitors will not have multiple locations throughout the Festival. All exhibitors must conform to the prevailing applicable regulations of the City of Boston Fire Department and Inspectional Services Department.

Tents: All spaces will have a tent provided. Professionally installed tents will only be facilitated by the Boston Pride Committee. Personal and pop-up tents will not be necessary and are not permitted.

All exhibiting organizations are required to prove they have insurance coverage covering any liability connected to your space and exhibit. You must contact your insurance company or agent and request they name the Boston Pride Committee and the City of Boston as additionally insured for this event. If you are unable to obtain a certificate, the Boston Pride Committee can provide a certificate for you. If you choose to have the Boston Pride Committee provide a certificate for you, you must do so by May 16th 2008.

Boston City Hall restricts vehicles allowed on City Hall Plaza. You must inform us in advance if you need vehicle access to Congress St. Your group is not penalized if you choose to bring a vehicle but you will be obligated to arrive at a specified time on your confirmation e-mail, and be required to have your vehicle off Congress St within 20 minutes of access. Exhibitors who do not bring a vehicle are not subject to a setup time.

6 - Rules and Regulations

Compliance with the Boston Pride Code of Conduct and the Festival Rules and Regulations is mandatory. Any organization that does not follow these will be subject to removal from the Festival. Festival Participants are asked to follow instructions from Festival Staff and City of Boston Officials.

6a - Boston Pride Code of Conduct

When organizing your exhibit, please consider the diversity of the community and audience at the Event. People participate in Boston Pride for many reasons: to celebrate, to make a political statement, to have fun, to showcase their business or group, to include family members, and to show support. The Boston Pride Committee respects individuals’ rights to express themselves as they choose. The Boston Pride Committee is not a law enforcement agency and does not participate as a law enforcement agency. The Boston Pride Committee does not endorse or encourage illegal behavior by anyone participating in or attending the Event. Additionally, the Boston Pride Committee does not support any form of homophobia or attempt to censor an individual’s freedom of speech or freedom of expression so long as it does not infringe on the rights of others. The Boston Pride Committee is the permit holder and reserves the right to deny participation and/or registration of any group or individual who may be considered unacceptable to participate by the rules of such permit and the community. The Boston Pride Committee will abide by all Massachusetts laws governing public decency. Any individual or group who violates these laws may be removed from the Event by the City of Boston.

6b - Festival Rules and Regulations

By submitting this application, you agree to:

1- Contract for Space. This application for space, accompanied by full payment of rental, constitutes a contract for the right to use exhibitor space for the one-day Festival on June 14th 2008. The Boston Pride Committee reserves the right to make the final dertermination of all space assignments in the best interest of the Festival.

2- Payment for Space. Applications must be accompanied by a check or online payment made payable to the Boston Pride Committee, in U.S. funds, for 100% of the booth rental. Applications received after May 16th, 2008 will be subject to a $300 late fee. The late fee, if applicatble, must be included with your application. The Boston Pride Committee assumes no liability for lost or misdirected mail. Applications received after June 6th, 2008 may not be accepted.

3- Confirmation. Each exhibitor will receive a confirmation letter or email regarding their application acceptance. If you requested to have a vehicle at the Plaza, you will be given a set up time and a review of registration procedures. If you do not receive your confirmation by June 9th, 2008, please contact the Festival Chair directly by emailing festival@bostonpride.org.

4- Registration. A registration booth will be set up on Boston City Hall Plaza at 7:00am on Saturday June 14th, 2008. All exhibitors who request vehicle access must check-in during their designated set-up time at the registration booth to receive their assigned space. Your arrival time will be strictly enforced and no exhibitor's vehicle will be allowed access to the Plaza before or after their scheduled arrival time. Non-vehicle exhibitors will not be subjected to an arrival time, but the Boston Pride Committee will accommodate exhibitors on a first-come first-serve basis. All exhibitors must be checked in by 9:30am, and are encouraged to arrive early. The registration booth closes at 9:30am and all non-occupied spaces may be forfeited by the Boston Pride Committee without refund of the rental charge.

5- Installation. Exhibitors may begin installation immediately following registration check-in. Installation must be completed by 10:00am. Any exhibitor space not occupied by 9:30am on Saturday June 14th, 2008 may be reassigned or forfeited by the Boston Pride Committee without refund of the rental charge.

6- Tables and Chairs. A $25 cash deposit will be required for the equipment during registration. The exhibitor is responsible for returning the equipment to the assigned central holding area. The full deposit will be returned when the equipment is returned at the end of the Festival.

7- Dismantling. The Festival ends at 6:00pm on Saturday June 14th, 2008. All exhibitor business must be concluded at this time. No motor vehicles will be allowed on Boston City Hall Plaza grounds prior to 8:00pm. Each exhibitor is required to clean their exhibitor space and leave the premises in the same condition as they found it. All equipment supplied by the Boston Pride Committee (i.e. tables and chairs) must be returned to the central holding area with the equipment deposit receipt in order to have the $25 deposit returned.

8- Liability. The Boston Pride Committee, nor any of its officers, nor any of its staff members or volunteers, or the City of Boston shall be responsible for the safety of the property of the exhibitors from theft, damage by fire, accident, or any other cause whatsoever. Each exhibitor shall hold an insurance policy which names the Boston Pride Committee and the City of Boston as additional insured, unless otherwise selected in Section 3 of this application.

9- Use of Space. Booth space and all exhibits must conform to prevailing applicable regulations of the City of Boston Fire Department and Inspectional Services Separtment. A copy of the regulations may be obtained through the City of Boston at www.cityofboston.gov.

10- Restrictions in Operation of Exhibit. The City of Boston, City Hall, and/or the Boston Pride Committee reserve the right to restrict exhibits which become objectionable for any reason, but not limited to noise, method of operation, or materials. The City of Boston, City Hall, and/or the Boston Pride Committee also reserve the right to prohibit any exhibit which, in the opinion of the City of Boston, City Hall, and/or the Boston Pride Committee, may detract from the general character of the exhibit as a whole. This reservation includes persons, things, conduct, printed matter, or anything of a character which the City of Boston, City Hall, and/or the Boston Pride Committee determine is objectionable to the exhibit or the Festival.

6c - Helpful Hints

How to better communicate with deaf and hard of hearing individuals at Pride. Did you know that 10% of the American population is deaf or hard of hearing and there are thousands of deaf/hard of hearing individuals in the Greater Boston area? To make sure that you are reaching this large and diverse population, please provide information in visible/written format. If you are selling merchandise or clothing, use posters, banners, brochures, or signs to mark prices and sizes so that customers who are deaf or hard of hearing can easily shop at your booth. Consider providing a laminated menu or sample items of different sizes marked with prices, so that deaf or hard of hearing visitors can communicate efficiently with you. Your cooperation to ensure equal access for deaf and hard of hearing people at Boston Pride is greatly appreciated.

6d - Compliance

As the representative of my group, I have read and understand the regulations and guidelines listed herein and agree to them. I have read these guidelines to the members of my group and have discussed them thoroughly in our meeting prior to the Festival.

7 - Confirmation

On the confirmation page, you have the option to print a copy of your registration. We recommend you do so for your records.

Also on the confirmation page, you can choose to pay your registration fee by check or Credit Card (via secure PayPal transaction).

You will be receiving an automatically generated email with the details of your registration. You will also get a personal confirmation from the Festival Chair that your registration has been received and approved. If, for some reason you do not receive one within one week of your registration, please contact the Festival Chair at festival@bostonpride.org.
